Who we are The Human Resource Services Division (HRSD), part of the Oregon Judicial Department (OJD), provides full-service human resources consultation in support of judges and employees across 27 judicial districts within Oregon's 36 counties, plus the Office of the State Court Administrator, Court of Appeals, Supreme Court, and Tax Court.
Our 19-person team focuses on payroll, benefits, classification and compensation, recruitment and selection, safety, workers' compensation, employee relations and labor consultation, legal compliance, discipline, grievances and appeals, workforce diversity, equity, and inclusion, staff training and development, and records.

Position Highlights HRSD is hiring a Human Resources Assistant to provide professional administrative support to the division generally and to the HRSD Director specifically.

As a main point of contact, you will help OJD and HRSD make a good impression when you greet visitors and answer calls from judges, OJD staff, state agencies, vendors, and the public.
Your workload will be dynamic and, at times, heavy due to the number of functional areas you will support and the subject matter that we handle.
Much of your time will be spent coordinating and scheduling meetings and other events, researching and reserving resources (e.
g.
, facilities and catering), assisting with travel arrangements, preparing presentation equipment and materials for meetings, creating and distributing meeting minutes, procuring office equipment and supplies, and helping maintain HRSD's SharePoint site by ensuring that information is current and by creating new site pages to support various projects, functions, and trainings.
You will also perform data entry and reporting through the Workday Learning Management System.
Additionally, you will monitor and reconcile Program Cost Accounts (PCAs), prepare budget reports for multiple PCAs, evaluate and process invoices and travel reimbursements, and partner with management to prepare budgets.
You will help process hire and separation documents, as well as conduct new-employee orientation as needed.
As our liaison with building management, you will coordinate maintenance and service requests, perform quality control checks on work performed, evaluate and process invoices, and help with space planning and design.
Part of your time will be spent tracking our asset inventory, accepting deliveries, and verifying warranty claims and license renewals.
Assigned tasks may be changed to accommodate workload and organizational needs.

Minimum Qualifications (These must be evident in your resume or work history.

AND Five (5) years of human resources clerical support experience, secretarial or administrative experience demonstrating the knowledge, skills, and abilities needed for this position.
OR Any combination of education and experience equivalent to five (5) years of experience that typically supports the knowledge, skills, and abilities for the position.

Requested Skills and Attributes (These must be addressed in your cover letter.
) Experience providing direct clerical or administrative support to multiple persons, which included scheduling/calendaring, human resource functions, workload prioritization, information sharing, and other logistical duties; experience should be recent-within the past five years.
Experience using a computer to review, analyze, and manage data, maintain spreadsheets, run reports, and present findings; proficiency with Microsoft 365 (Outlook, Word, Excel, PowerPoint, Teams, etc.
) and Adobe Pro; and familiarity with Canva or similar design/publishing software, Jabber, and SurveyMonkey.
Ability to manage a heavy workload with multiple tasks, frequent interruptions, and competing deadlines.
Experience working effectively and collaboratively in a team environment and maintaining positive working relationships.
Ability to recognize when to elevate an issue to a supervisor.
Experience using Workday in a specialized role, or using a comparable human resources information system, is desirable.
Experience working with human resource functions, in a human resources office, or other related experience handling confidential information is desirable.
Working Conditions This is a full-time position, and the work schedule currently is 8:

It is eligible for overtime compensation for hours worked in excess of 40 per workweek.
Occasional after-hours or overtime work may be required.
Travel, sometimes overnight, for meetings and events may be required; this position may use a state vehicle to conduct business.

Hybrid work may be available for this position; however, fully remote work is not available.
