Legislative Administration is recruiting for one part-time, Capitol Events and Program Coordinator. This position exists within the Facility Services Unit of the Legislative Administration (LA) Agency. Legislative Administrations mission is to support the Oregon Legislature, promote access to the legislative process, and provide efficient, effective, accountable and customer-oriented services to all legislators, legislative agencies, the public, and other government agencies. Legislative Administration provides a full range of support services through the following departments: Committee Services, Employee Services, Facility Services, Financial Services, and Information Systems.
Facility Services is responsible for custodial care; operations and maintenance of building systems including mechanical/electrical/plumbing systems; centralized contracting, procurement, and supply services; security oversight; risk management; regulatory compliance; food services; space planning; publications and distribution; mail services; telephone service; capital improvements; historic preservation; Capitol use, tours, gift shop operations, access and events; and related building use/maintenance services.
The Visitor Services Office includes building use coordination, operation of the Capitol Store, conducting/coordinating tours, and providing visitor information activities.
This position will be located in the Capitol building in Salem, OR.

DUTIES &
Responsibilities:
Outreach and Event Planning. This position has primary responsibility for the creation and implementation of a plan to increase use of meeting rooms and other public space in the Capitol.
Plan, schedule, and coordinate public events that promote the mission and exhibitions of the Capitol History Gateway, including lectures, demonstrations, tours, exhibits, history and heritage days, classes, lectures, performances and other programming;
Increase tour and visitor counts;
Promote facility rental opportunities at the Capitol to various groups and organizations;
Coordinate event planning timelines with all stakeholders and partners;
Manage relationship with clients and partners throughout the event and meeting planning process and beyond.
Maintain a master calendar of meetings, events and programs;
Collaborate with other Capitol staff;
Assist with preparing event budgets and providing periodic progress reports;
Attend and support for all events including evenings and weekends when necessary.
Marketing. Responsible for marketing events and tour options through a variety of media including print, email, website and social media outlets.
Identify and develop productive partnerships with outside organizations; local, state-wide and nationally.
Assist in the recruiting of partners and volunteers for events.
Write copy for website, newsletters, and other marketing materials.
Maintain and facilitate website content updates.
Maintain visitor contact database and respond to visitors questions electronically.
Historical Asset Custodian.
Maintain the Capitols searchable collections database.
Interpret and maintain the Capitols artifact acquisition policy and facilitate donation requests.
Develop grant proposals.
Arrange for and coordinate the revolving gateway exhibit, including seeking exhibitors interested in participating, creating selection criteria, selecting exhibitor, ensuring insurance coverage and making arrangements with Facility Services for the installation and removal of exhibits.
QUALIFICATIONS, REQUIRED & REQUESTED SKILLS:
MINIMUM
Qualifications:
Three (3) years of experience in developing, managing and promoting events, working with a wide variety of stakeholders, partners and customers.
Experience working in the tourism industry, museum or cultural institution setting that includes marketing.
Competent computer skills. Experience and ability in MSOffice products to include; Access, MSWord, Excel, and PowerPoint.
Notes:
An associates degree or accredited certificate in Travel and Tourism Management, or a related field may be substituted for up to one (1) year of the required experience.
An equivalent combination of education and experience sufficient to demonstrate ability to perform the duties of the position may be considered.
Knowledge/Skills/Abilities:
Strong organizational skills,
ability to work independently and collaboratively and as a self-starter, strong marketing and event planning skills, strong research and writing skills. Experience updating websites and other social media.
Knowledge of local community groups such as; Chamber of Commerce, Salem Economic Development Corp., Salem Convention and Visitors Association, or similar community organizations.
Knowledge of state, county, and local historic organizations and groups, such as the State Historic Preservation office, Oregon Historic Society, and Willamette Heritage Center, or similar organizations.
Ability to work effectively with and coordinate the efforts of diverse groups of creative stakeholders, partner organizations, staff members, and the public.
Skill in communication, conflict resolution, and negotiation.
Skill to create and implement effective partnerships.
Skill to communicate policies, procedures, and other knowledge to multi-level management, assembly members, and co-workers.
Skill to teach Oregon History, travel, tourism, and governmental processes.
Skill to speak a foreign language; particularly Spanish or Japanese is highly desired.
PREFERRED SKILLS:
Knowledge of museum practices, museum education standards. Grant writing experience.
OTHER:
Develop interpretive programs
Provide interpretive training
Develop and maintain a collection policy
Facilitate the development of an education curriculum or teachers resource section online
Maintain a library of interpretive and historical resources
Maintain historical data base relating to the Capitol
Manage the collection of artifacts and items located at the Capitol

The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
